We are excited to offer our gymnasium for community rentals! Whether you’re planning a sports practice, special event, or community gathering, our facility provides a clean, safe, and spacious environent. Please review the information below to ensure your event aligns with our guidelines.
Facility Availability & Hours
Rentals are not available during regular Club hours, except during Club shut-down weeks:
Monday, Wednesday, Friday: 2 PM - 6 PM
Tuesday, Thursday: 2 PM - 8 PM
Summer Hours:
Monday - Friday: *AM - 5PM
Rentals on Club days require prior CEO approval.
Rentals outside regular working hours are subject to a $20 per hour staffing fee, based on staff availability and organizational guidelines.
Minimum Fee Rental: $100 per rental, regardless of duration
Holiday Closures
Our facility is unavailable for rental on the following holidays: New Year’s Eve, Martin Luther King Jr. Day, Presidents’ Day, Good Friday, Easter, Memorial Day, Juneteenth, Independence Day, Labor Day, Columbus Day, Veterans Day, Thanksgiving, Christmas Eve, and Christmas Day.
Facility Purpose & Priority Use
Our gym’s primary purpose is to serve Club members with educational, recreational, and cultural programs. While non-Club groups are welcome to request rentals, priority is always given to Club activities.
Eligible Groups
We welcome rentals from individuals or organizations that:
Align with the mission and values of the Boys & Girls Clubs of Appalachia.
Do not exploit the Club’s name or opportunity.
Assume full responsibility for group conduct and adherence to Club policies.
Are community service, religious, educational, social, or civic in nature.
Have a designated adult (21+) who oversees behavior and policy compliance.
Employee Rental Benefit
Boys & Girls Clubs of Appalachia employees are eligible for one free regular-priced rental per year. This benefit does not apply to discounted rates or team practices. All standard policies, including supervision and clean-up, still apply.
Reservations & Payments
Reservations must be made at least 14 days in advance.
Payment Schedule:
50% of the fee + $100 refundable security deposit due at booking.
Remaining balance due 24 hours prior to the event.
Accepted payment methods include cash, money order, or major credit cards (payable to Boys & Girls Clubs of Appalachia).
Cancellations & Changes
Cancellations must be submitted in writing at least 3 business days in advance for a refund. Late cnacellations forefit the security deposit. A $5 fee applies to reschduling; requests must be in writing.
Supervision Requirements
Minimum of one adult (25+) per 12 minors is required. Coed events must have both male and female adult chaperones.
Facility Rules
Alcohol & Substance Use: Strictly prohibited.
Smoking & Vaping: Not allowed anywhere on Club property.
Food: Pre-prepared food is allowed. Caterers must manage temperature control. Eating/drinking is only allowed in the gym.
Decorations: Must be fireproof and secured with masking tape only (no nails, tacks, or adhesives). All decorations must be removed post-event.
Set-Up & Clean-Up: Your rental time inlcudes set-up and clean-up. You are responsible for wiping tables and counters; removing all trash and decorations; cleaning doors, windows, and floors. Failure to clean will result in forfeiture of you security deposit and additional fees.
Parking is limited. Please discuss parking needs with the Unit Director in advance.
Damages: Renters are liable for the full replcement cost of any damages.
Rental Limitations
The Club reserves the right to deny or cancel rentals due to:
Safety concerns;
Political rallues;
Lack of staffing availability;
Conflicts with Club programming; or
Other factors at the Club’s discretion.
Sales & Fundraising
Selling food, beverages, or charging admission requires prior approval and may incur additional fees.
